Description of Duties
A Personal Assistant (PA) and Office Administrator in a beauty salon setting plays a critical role in ensuring the smooth daily operation of the business, acting as the primary point of contact for clients, and providing administrative support to salon management and staff. This role involves managing the front desk, scheduling, and ensuring a luxurious client experience. Executive Support (PA Functions): Manage the salon owner/manager s calendar, diary, and appointments. Act as the first point of contact, screening calls and managing correspondence. Handle personal tasks and errands for the owner. Liaise between the owner, staff, and external partners/suppliers. Office Administration: Manage bookings, scheduling, and customer inquiries via phone, email, and social media. Oversee daily front-desk operations and maintain a professional reception area. Maintain client databases, booking systems, and records. Manage inventory, monitor stock levels of beauty products, and place orders. Handle basic accounting, such as processing invoices, tracking expenses, and preparing daily cash-ups. Operational & Staff Support: Assist in monitoring staff schedules, attendance, and performance. Ensure compliance with health, safety, and hygiene standards. Support marketing efforts, such as posting on social media and promoting special offers. Provide high-quality customer service, including resolving client complaints. Marketing & Digital Presence: Creating marketing campaigns (social media, events), upselling services (upgrades, memberships), managing product inventory, driving retail sales, and providing excellent customer service to ensure client satisfaction and repeat business. Monitor online reviews and manage the salon's digital reputation
Qualifications
Requirements and Skills Experience: Proven experience as an administrative assistant, receptionist, or PA, preferably in a salon, spa, or high-end retail environment. Organizational Skills: Exceptional organizational and time-management abilities, with the capacity to multitask in a fast-paced environment. Communication: Excellent verbal and written communication skills for interacting with clients and staff. Attributes: High level of discretion, trustworthiness, professionalism, and a proactive "can-do" attitude. Grade 12 Driver s license (preferably own transport) Technical Skills: Proficiency in Microsoft Office (Word, Excel, Outlook and PowerPoint) and, ideally, salon-specific software (PIMS, POS systems) and CANVA NON-Smoker Working Conditions This is often a full-time, permanent position, sometimes requiring flexibility to work weekends or evenings. The role may involve working closely with the owner, sometimes alone or in a small team setting
